QUALIFICATIONS SUMMARY: Twenty + years of various administrative experience that includes office management, purchasing, bookkeeping and construction-related functions. Proficient in Word, Excel, Outlook, QuickBooks (QBO).
EXPERIENCE:
Administrative Assistant
· Generate all subcontracts, change orders
· Track all subcontractor insurance certs, W-9s, etc.
· Receive & verify all subcontractor billing (including all waivers/releases) inputting into QBO
· Managing all accounts payable (QBO)
· Generating all billing to customers/owners, inputting into QBO
· Reconciling all monthly bank (3) and credit card (1) accounts in QBO
Labor Compliance Admin./Junior Estimator
· Reading blueprints, estimating for sign quantities, types and sizes of varying material plus labor
· Prevailing wage documentation (all DAS forms, payroll reporting forms, etc.), figuring monthly training funds, eCPR on DIR website, uploading required documentation on various labor compliance tracker websites
Office Manager/Bookkeeper
· Using QuickBooks Enterprise, accurate daily input of and weekly payment of accounts payable
· Preparing weekly bank deposits, and performing monthly reconciling of bank accounts
· Bi-weekly tracking of employee hours and reporting of payroll to outside service (3 hourly employees, 2 salaried), and maintaining employee files
· Training of all newly hired personnel on all procedures and computer applications
· Input/update data in specialized flooring software (Pacific Solutions) of pricing and products
· Coordinate renewal of auto, general liability and worker’s compensation insurances
· Yearly preparation and mailing of subcontractor 1099’s
Administrative Manager
· Preparation of subcontracts and related documents on all projects ranging in size from $30K to $3 million
· Solely responsible for collection and review of certified payroll and labor compliance documents received from subcontractors on all prevailing wage projects to assure accordance with state and/or federal laws. This involved heavy subcontractor contact explaining various procedures, and seeking additional documentation, corrections, etc. Review for accuracy and log all subcontractor applications for payment, including waivers/releases
· Examine bid documents on upcoming projects to check for required signatures, information, etc.
· Advertisement and solicitation of potential DBE/DVBE/MBE/WBE subcontractors on all city/county/federal project bids
· Accurate execution of company certified payroll reports and labor compliance documentation
